My 401k to Gold IRA Transfer Timeline - What to Expect?

I just wrapped up the transfer of a chunk of my old 401k (roughly $300k, pre-tax) into a Gold IRA, and I wanted to share my experience with the timeline for anyone else considering it. As a professor here in Richmond, I tend to over-research everything, and the transfer process was no different. I was initially pretty nervous about the whole thing, especially since this was a significant chunk of my retirement savings from my previous institution before I landed the gig at VCU.
My first step was finding a reputable custodian. That took me a solid two weeks of digging into reviews, fee structures, storage options, and making a few calls. Once I settled on a custodian, the actual paperwork for the rollover itself was surprisingly quick – maybe a day or two to fill out their forms and get everything signed digitally. The real waiting game began after that. I initiated the direct rollover request from my old 401k provider on October 23rd. My old 401k provider (a pretty well-known one, rhymes with 'Fidelity') took about seven business days to process their end and release the funds to the new Gold IRA custodian. I was calling them almost daily for updates, feeling a bit like a nag, but hey, it's my money!
Once the funds hit the Gold IRA custodian’s account (which was around November 6th), it was another ~3 business days for them to finalize the purchase of the physical gold. I opted for a mix of American Gold Eagles and Canadian Gold Maples, based on some of the discussions I’ve read here about liquidity and premiums. The gold itself was then shipped to the depository by November 13th, and I received confirmation of its secure storage a day later. So, from initiating the request to having my gold securely stored, it was just under a month – about 3 weeks and 2 days total, factoring in weekends. For a direct rollover, I was mentally prepared for longer, maybe 4-6 weeks.
One thing that surprised me was how much back and forth there was between the two institutions. My old 401k provider needed specific instructions from the new custodian, and then the new custodian needed confirmation from my old provider that the funds were indeed on their way. It felt like playing telephone sometimes. All in all, I’m relieved it's done. I've been feeling increasingly uneasy about the market volatility lately, especially with the inflation numbers, and having a portion of my portfolio in something tangible like gold brings a surprising amount of peace of mind.
Has anyone else in the community had significantly different timelines for their 401k to Gold IRA rollovers? Did I just get lucky, or is this roughly what most of you experienced? What were your biggest pain points during the process?
